Glow Studios – Studio Hire Terms & Conditions

1. Definitions

“Client” – Any individual, group, or organisation entering into this hire agreement with Glow Creations Ltd.
“Glow Studios” – The studio facilities owned and operated by Glow Creations Ltd, registered in England, Company No. 15746466.
“Hirer” – The Client and all persons associated with them during the hire period.
“Studio Hire” – The rental and use of Glow Studios for photography, videography, creative production, or agreed private events.
“Equipment” – All studio fixtures, lighting, backdrops, accessories, and materials provided by Glow Creations Ltd.
“Studio Premises” – The designated Glow Studios facilities available for hire.

2. Booking, Payment & Cancellations

A booking is only confirmed once the booking form is completed and payment is received.
At the time of payment, the client is deemed to have agreed to these Terms and Conditions (by ticking the box on the ‘Book Online’ page that states they have read and agreed to the terms and conditions).
Clients are responsible for ensuring the Studio is suitable for their intended use before booking.
Studio hire is strictly for the Client’s use and may not be sublet, transferred, or assigned without prior written consent from Glow Creations.
Glow Creations reserves the right to stop any activity it considers unsafe, unlawful, or outside the intended purpose of the Studio.
Studio hire begins at your scheduled time and ends once the space is packed down fully cleared.
Please ensure set-up and pack-down are included within your booked hours, as overtime will be charged at £50 per hour (or part thereof), starting 15 minutes after your session ends.

Any additional costs incurred (including overtime, or damages) will be charged to the card used for booking.
Cancellations within 5 days of the booking are non-refundable.

3. Payment Structure

To make booking straightforward and secure, Glow Creations operates the following payment terms:

Full Payment in Advance – All Studio Hire bookings must be paid in full at least 72 hours before the session to secure the date and time.
Deposits - for (Back-to-back studio hire) or longer, a 50% non-refundable deposit may be paid to secure the dates, with the remaining balance due no later than 7 days before hire.
Late Payments – If payment is not received within the agreed timeframe, the booking will be released and made available to other clients.
Refunds – Payments are non-refundable if cancellation occurs within 5 days of the booking. For cancellations made earlier than 5 days, a credit may be issued for future studio use at Glow Creations’ discretion.

4. Insurance & Liability

All use of the Studio and Equipment is entirely at the Client’s own risk.
The Client is responsible for ensuring adequate public liability and production insurance is in place for their team and activities.
Glow Creations holds employer’s liability insurance but accepts no responsibility for loss, injury, or accident incurred on the premises.
The Client is responsible for any damage to the Studio or Equipment caused by negligence, misuse, or failure to follow instructions.
Glow Creations is not liable for any legal infractions committed by the Client or their team during hire.
CCTV footage will be used for any legal infractions committed by the Client or their team during hire.

5. Health & Safety

Clients are responsible for conducting their own health & safety assessments before use.
A first aid kit and fire extinguisher is available; however, Glow Creations does not provide qualified medical staff.
The use of open flames, smoke/fog machines, or hazers is prohibited without prior written consent.
Smoking, vaping, alcohol, and illegal substances are strictly prohibited in the studio. Any breach will result in immediate termination of hire without refund.

6. Breakages, Loss & Damage

The Client accepts full responsibility for all breakages, damage, or loss caused by themselves or their team.
Any lost, damaged, or stolen items will be charged at full replacement value.

7. Conduct & Noise

Clients must respect the studios and others and keep noise to a reasonable level.
Glow Creations reserves the right to halt or terminate any session without refund if behaviour is deemed unsafe, inappropriate, or disruptive.

8. Studio Care & Clean-Up

Clients must leave the Studio in a clean and tidy condition as they found it.
All rubbish, props, and personal materials must be removed at the end of hire.
Glow Creations reserves the right to charge a cleaning fee of £50 for any additional cleaning required to restore the studio to its original state, other than the standard cleaning provided from regular wear and tear.

9. Children & Animals

The minimum age to hire Glow Studios is 18. Anyone under 18 taking part in a shoot must be accompanied by a responsible adult at all times.
Animals are not permitted in Glow Studios.
